Primary Function of Position:
Provide administrative, logistical and compliance support to the regional Marketing teams for the organization and coordination of internal and external events, and other marketing related activities. The Marketing Administrative Assistant will work closely with the regional and European Marketing teams, sales teams and cross-functional departments dedicated to the assigned territory.
Roles and Responsibilities:
Organization of tradeshows and scientific events (symposium, workshop, scientific diner)
- Create sponsoring agreement /educational grant /conventions, submit and follow with the Compliance & Legal team
- Establish and send attendance letters to HCPs attending our marketing activities and prepare attendance sheet for onsite signature
- Create new vendors/proctors, process Purchase Orders, follow on invoices and payment
- Coordinate hotel/meeting room/restaurant bookings, transportation respecting compliance limits
- Order services through congress organizers: furniture, electricity, cleaning, etc
- Organize mobile system reservation, delivery and pick up with transportation company
- Establish booth layout, organize booth set up and dismantling
- Collaborate with the sales team and determine the attendance planning for the tradeshows
- Implement the congress lead campaigns and follow-up with the team
- Follow-up of the events through the release of satisfactory surveys
Marketing events and VIP visits in our expert training centers:
- Book resources with the training team (location, da Vinci systems, trainers, models for demo)
- Confirm event dates with training centers and potential needs (ie meeting room, lunch)
- Book restaurant, hotel and transportation for participants and speakers
- Create and submit event agenda to the sales team
- Follow the events with a satisfactory survey and implementation of the participants in Wave
General administrative tasks:
- Order and coordinate shipment of marketing material, documentation, ISO
- Coordinate the shipment of the da Vinci system located in Pessac
- Collaborate with Mainfreight to upgrade the floating Simnow, support to sales when needed
- Support in the organization of the internal events (sales meeting, executive session, users meeting)
- Support Marketing teams by managing various notification and authorization processes with competent authorities across the assigned territory
- Coordinate with Admin support team the creation of contracts (CCL/One Shot/PO) and request of hospitality. Ensure compliance requirements are met through submission of internal compliance requests and manage HCP contracts, travel, fees and expenses for their participation to Intuitive activities
Descriptif du profil
- High school diploma/Secondary Education or equivalent; or equivalent experience in marketing
- Minimum 3 years’ experience in event management, marketing, preferably acquired in the medical device industry and in an international fast paced and changing environment (good understanding of Healthcare laws and regulations strongly preferred)
- Languages (spoken and written): fluency in French and English (Dutch is a plus)
- Excellent interpersonal, verbal and written skills coupled with ability to interact with a variety of departments and customers (marketing, sales, market access, legal/compliance roles, and healthcare professionals)
- Strong organizational skills and ability to work in a team-environment providing cross- functional support
- A keen ability to coordinate projects, organizing, prioritizing and coping with various tasks.
- Flexible and reliable, and strong attention to details
- Strong knowledge of all MS Office product suite
- Travel up to 20% required
